PREFERRED QUALIFICATIONS
- High School graduate or equivalent (GED).
- Additional coursework or training in business field preferred.
- Proficient in computer and word processing skills, database, spreadsheets, and desktop publishing.
- Ability to transcribe from tapes, shorthand, and/or written communication (per Administrator's discretion).
- Ability to make decisions without direct supervision.
- Demonstrated successful public relations skills.
- Ability to maintain confidentiality.
- Ability to handle heavy workload and a wide variety of assignments.
- Successful experience in jobs of similar capacity.
- Must successfully pass District battery of tests.
JOB RESPONSIBILITIES
- Responsible to the Director of State and Federal Programs
- Major responsibilities include assisting the Director of State and Federal Programs with word processing, copying, filing, meeting arrangements, and communication related to grant funded programs
Duties include:
- Process and maintain State and Federal Programs Documentation such as (but not limited to):
- PAR’s, mileage reports, travel, and expenses that requires knowledge of Excel (including formulas and linking) and PCMI
- District and building grant documentation to meet State and Federal requirements
- Multilingual Learner Program records, student files, securing translation services, etc.
- Private Non-Public Equitable Services
- Grant and program binders
- Timesheets
- District and building inventory logs
- Communication and cooperation with McKinney-Vento Liaison
- Process orders related to federal grant funded expenditures (requisitions)
- Maintain Title I copier/printers (paper, toner, and service) and office supplies, working knowledge of a variety of office equipment
- Obtains, gathers and organizes pertinent data as needed and puts into usable form
- Knowledge of computers and various programs that run an efficient office system
- Maintains a regular filing system as well as confidential files and processes incoming correspondence as instructed
- Places and receives telephone calls in professional and courteous manner and records messages accurately and confidentially
- Performs bookkeeping tasks that may be associated with the position
- Must be able to give direction to others and supervise them.
- Ability to deal with the public tactfully and courteously and to work harmoniously with all other employees
- Maintains a schedule of appointments and meetings
- Must be able to prioritize workload and adjust accordingly to meet the demands of the job
- Considerable knowledge of business English, mathematics and a variety of other communication skills
- Processing, pick up and delivery of office mail
- Other duties as assigned by the Director of State and Federal Programs that are allowable within grant guidelines.
- Conducts himself/herself in a professional manner commensurate with his/her position and projects a good public image of the School District in dealing with the community and employee groups.
